Event Coordinator Intern

Reports to: Community Relations Coordinator

Hours: Monday – Thursday, 10-15 hours per week to be negotiated around the intern’s school schedule.

Mandatory attendance at the two events on Saturday, March 4 (10:00am-5:00pm) and Friday, April 7 (12:00pm-11:00pm).

The Event Coordinator Intern is responsible for assisting the executive staff in planning and executing two events: Historic Southside Literacy Carnival and StoryLand Auction.

JOB DESCRIPTION:

Literacy Carnival

  • Maintain database of event contacts
  • Follow up with event contacts and create list of event commitments
  • Inventory game supplies
  • Brainstorm ideas for new games and activities
  • Create supply lists for games and activities
  • Recruit vendors
  • Act as point of contact for all event vendors
  • Create event schedule including time slots of celebrity readers
  • Send follow up thank yous to celebrity readers, food vendors and book drive donors
  • Manage day-of activity/vendor/food/celebrity reader set-up and execution

 StoryLand Auction

  • Work with program coordinator to execute set-up and event procedures on day-of auction
  • Assist with donation procurement
  • Plan and recruit entertainment for the event
  • Run AV/slideshows during the event

Skills Needed:

  • Marketing, Strategic Communication, or Communication Studies majors
  • Exceptional organization skills
  • Ability to coordinate and lead groups of people with enthusiasm
  • Exceptional written and oral communication skills
  • Ability to manage multiple tasks at once
  • Creative problem-solving

Marketing Intern

Reports to: Program Coordinator

Hours: Monday – Thursday, 10-15 hours per week to be negotiated around the intern’s school schedule.

Mandatory attendance at the two events on Saturday, March 4 (10:00am-5:00pm) and Friday, April 7 (12:00pm-11:00pm).

The Marketing Intern is responsible for assisting the executive staff in planning and executing two events: Historic Southside Literacy Carnival and StoryLand Auction.

JOB DESCRIPTION:

Literacy Carnival:

  • Create event flyer and plan distribution through various mediums
  • Create literacy fact sheet handout to distribute at the event
  • Handle elements of event week social media
  • Assist with event day set up and execution

 StoryLand Auction:

  • Assist with procurement of auction items via email, letters, and personal visits to businesses
  •  Sit on the auction committee and auction marketing team
  •  Maintain database of donations, and help creatively combine individual donations into exciting packages
  • Work with Development Director to create attractive displays and write engaging catalog
  • Manage auction mail-out and RSVPs
  • Handle elements of event week social media
  • Learn and use Greater Giving event software and manage check-out at auction
  • Manage silent auction set-up and check-out with a volunteer team
  • Follow-up after auction with thank you letters and tax receipts to all donors and attendees

Skills Needed:

  • Marketing, Strategic Communication, Graphic Design, Business, or Communication Studies majors
  • Great attention to detail
  • Exceptional written and oral communication
  • Some experience with design (MS Publisher, InDesign, or Adobe Photoshop)
